What this covers

This policy covers the EngineOS website and the EngineOS intake service. It describes what we collect, why, who else receives it, and how long we keep it.

Two kinds of people appear in it: customers, who sign up and whose business line we answer, and callers, who ring that line and speak to the agent. Their data is treated differently, and both are described below.

What we collect from customers

  • Business name, your name, email address, mobile number, and the business phone number you want answered — all typed by you at signup.
  • Your carrier and time zone, used to generate the correct call-forwarding code and to show times in your emails in your own local hour.
  • The page you signed up from and the referring page, so we know which route brought you.
  • Usage records for your account: one row per handled turn, with the interaction profile and whether a call was answered. These carry measurements, not message content.

What we collect from callers

When a call forwards to EngineOS, the agent conducts an intake. That produces:

  • The caller's phone number, the number dialled, and the call's start, end, and outcome.
  • Audio of the call while it is in progress, streamed to a speech-to-text provider so the agent can respond.
  • A transcript of the conversation and the structured fields extracted from it — the answers the caller gave to the intake questions.

This data belongs to the customer whose line was called. We process it to run the intake and deliver the resulting lead to them.

Who else receives it

EngineOS is built on third-party infrastructure, and running a call means data reaches these providers. They are listed because they genuinely receive it:

  • Telephony — carries the call and its audio.
  • Speech-to-text — receives call audio and returns a transcript.
  • Text-to-speech — receives the agent's words and returns audio.
  • Large language model provider — receives conversation text to classify intent and extract fields.
  • Email delivery — receives your email address and the contents of messages we send you.
  • Hosting — runs the application and its database.

We do not sell personal data, and we do not share it for advertising.

SMS notifications

If you give consent at signup, we send operational text messages to the mobile number you provided — alerts that a call came in and could not be taken, and setup notices. These are service messages about your own account, sent only to the account holder, and never marketing.

Message frequency varies with your account activity and is low — typically no more than a few messages a month. Message and data rates may apply. Reply HELP for help or STOP to opt out at any time, and consent to texts is not a condition of using EngineOS — where texts are unavailable or declined, the same notifications are sent by email.

Mobile phone numbers and text-message opt-in consent are never sold or shared with third parties or affiliates for marketing or promotional purposes.

How long we keep it

  • Signup and account records are kept while your account is open, and afterwards where we need them for tax, accounting, or dispute-handling.
  • Call transcripts and the structured intake are kept for the customer whose line was called, and are deleted on request.
  • The agent's working memory is expired automatically on a schedule: short-term conversational memory after 30 days, procedural memory after 180 days, and long-lived semantic memory after 365 days.

How it is separated

Each customer's data is isolated at the database itself. Every tenant-scoped table carries a tenant identifier and is protected by row-level security policies, so a query that forgot to filter by customer returns nothing rather than someone else's records.

Your choices

  • Ask for a copy of the data we hold about you, or ask us to correct it.
  • Ask us to delete your account and its records.
  • Turn the service off yourself at any time by disabling call forwarding on your line — no request to us is required.
  • Reply HELP for help or STOP to opt out of text messages.

Callers, specifically

If you called a business and spoke to EngineOS, the business you called controls that record. We process it on their behalf. Ask them to correct or delete it, or contact us at hello@engineos.ai and we will put you in touch.

Changes and contact

If this policy changes materially we will say so here and update the date at the top.
